Policy Purpose

This Privacy Policy applies to the Lawson-West website and internal procedures at Lawson-West, regarding the collection and use of your personal information, in accordance with the General Data Protection Regulations (GDPR).

Who are We?

In the context of Data Protection, Lawson West Solicitors Limited are Data Controllers.  We may also act as Data Processors for third parties.

What Personal Information does Lawson-West Collect and how?

Where we have specifically asked for information from you as part of your transaction, which you have submitted directly to us, or with consent by collecting information for marketing purposes, we will collect that Data.  If you complete any of Lawson-West's Contact Forms on our website, we will collect the information you enter onto that form.

Our system may also automatically record additional information on your visit to Lawson-West's website. This is done to optimise the performance of the website. The information is automatically collected and requires no input on your behalf:

  • Your domain name, for example btopenworld.com.
  • Your Internet Protocol (IP) address - this is unique for each connection to the Internet.
  • Your web browser, for example Internet Explorer or Mozilla Firefox.
  • The operating system used by your computer, for example MS Windows XP or Mac OS X.
  • The information will be held in hard copy and electronic form.

When you have given us permission to obtain your information from other online services or accounts and/or third parties, such as choosing to send us your location data when accessing our website from your smartphone, this ‘user authorised data’ may also be captured.

How will We use Information Collected?

We understand that you trust us with your personal information and we are committed to ensuring you can manage the privacy and security of your personal information yourself.

We may use your personal data (as defined by the General Data Protection Regulation 2018) for the purpose of client identity verification, the provision of any of our services, the administration of files and records, and legal and regulatory compliance.  We will use your information to enable us to process a query you enter using any of our website Contact Forms.

We will use your information for marketing purposes to provide you with details of new legal services and promotions, as well as informing you of relevant news and legal developments Lawson-West will only use your information in this manner if you consent for Lawson-West to do so on our contact and/or consent forms.

You can also contact us by the same method to change, correct, or delete your personal information regarding your profile at any time.  Please note though that, if you have shared any information with others through social media channels, that information may remain visible, even if your account is deleted.

If at any stage you decide you do not wish us to process your personal data for marketing purposes or if you do not wish to receive marketing emails or texts, please advise us in writing as soon as possible.

We will use your information as entered on our website, to log various usage and statistical information about your use of our facilities and to improve our website.

In the event that we no longer use your personal information for the purposes outlined in these policies, we will delete it except insofar as it is necessary to retain such information to comply with other relevant or applicable law.

Data Processing includes Collecting, Recording, Organizing, Storing, Using, Disclosing and Disseminating your data as is necessary to fulfil a contract with yourself or to comply with a legal obligation.

Who will We Share the Information With?

Our work for you may require us to provide information to third parties such as expert witnesses and other professional advisers. Any third party to whom we disclose information about you will be under an obligation to keep your information secure and not to use it for any purpose other than that for which it was disclosed.  We are taking steps to ensure third parties / data processors we share your data with, are also GDPR compliant, with appropriate agreements in place. 

We may also disclose your personal data to third parties from whom we are buying a business/assets or to whom we are selling some or all of our business/assets as part of any due diligence process. Your personal data may subsequently be transferred to such third parties.

If you would prefer that we did not transfer your personal data outside the EEA please write to the fee earner responsible for your work.

How long do We retain your Data

Lawson-West will not retain your personal information longer than necessary. We will hold onto the information you provide either while your transaction is live, or as needed to be able to provide relevant services to you, or for as long as is necessary to provide support-related reporting and trend analysis only.

If legally required or if it is reasonably necessary to meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce our Terms and Conditions, we may also retain some of your information for a limited period of time as required, even after you have closed your account or it is no longer needed to provide the Services to you.

Lawson-West will, at our discretion, store your data in hard copy (paper) or soft copy (electronic form) for a period between 6 and 13 years after which time it will be destroyed. Original and certified copies of Wills, Probate information and Property Deeds and documents will be retained indefinitely or returned to you, at our discretion or at your request.   After destruction or return of data, deeds and documents, the only data that will remain would be information for the purpose of running conflict checks, the fact that you have been a client of the firm and the nature of the work you did for me.
